How much of your weekday could you get back by optimizing your workflow?
Ask an advisor what they’d delegate and they’ll name a task. Ask them how to delegate, and you hear silence.
We polled our advisors on their workflows — admin, portfolio management, marketing. The results? Many run a one-person shop where they could run a team. Most said two to five hours a week go to tasks they’d rather hand off.
What we learned: nearly half do their own admin, over half manage their own workflows, a quarter ignore their website, over 40% skip marketing outright. Add it up and the opportunity cost is obvious: weeks lost to work that could run on autopilot and leads lost to a marketing presence that doesn’t exist.
What if reclaiming that time also meant better service — faster follow-ups, more face time with the clients who grow your book and business?
The mistake isn’t failing to delegate. It’s assuming delegation only means one thing: hiring someone. That feels like a big decision for a small task.
Here’s a different definition — the concept of delegation as a ladder: four tiers, each meant for a distinct type of task. Most of it costing nothing but setup time.
Tier I. Tasks you automate
These are your set-it-and-forget-it tasks: recurring work, scheduling, reminders, meeting notes.
44% of advisors surveyed run their client pipeline by hand — segmentation, follow-up triggers, the works. None of it needs constant watching. Set a rule once (“client turns 73 → RMD task created”) and it runs for the next decade. Need a tech stack cheat sheet? We’ve got you covered.

Tier. II. Tasks AI assists with
Planning, research, summarizing, first drafts, all fair game.
AI can sit in on client meetings, write the notes and flag follow-ups so you’re not typing while you should be listening. Past the meeting, it can draft the summary, build the checklist, or write an SOP you’ve never gotten around to. You still read it, edit it, and sign off — the AI keeps you from starting cold.
Ready-made resources:
- Jump.ai — similar AI meeting assistant that syncs directly with your CRM.
- Zocks — AI notetaker for client meetings; drafts summaries and follow-up tasks automatically.
- Trello, Airtable, or Asana — turn AI-drafted checklists and SOPs into a workflow you can follow, update and track.
Tier III. Tasks you outsource
Marketing, design, bookkeeping: all necessary, none your specialty.
Many advisors surveyed aren’t running mass emails or social media at all — skipping the two channels built to bring in new clients. An agency that knows financial services can build the calendar, segment the list and keep the brand consistent.
Ready-made resources:
- IFP’s Advisor Subscription covers social media directly: monthly posts, analytics reports, no guesswork needed.
- Snappy Kraken — a digital marketing system built specifically for financial advisors, compliance-aware content included.
- Canva for design, Bench or Pilot for bookkeeping — specialist tools for the jobs you shouldn’t be doing yourself.
- Calendly for automated scheduling that ends the back-and-forth. Your clients can book open slots, and appointment reminders send themselves.
Tier IV. Tasks you insource or hire for
Work that needs continuity — admin, portfolio management, operations, client services.
44% of advisors polled handle paperwork, compliance requests, and meeting prep entirely alone. A whopping half are their firm’s entire portfolio management team. Those aren’t automation or outsourcing problems — they’re headcount problems. IFP’s Client Assist is that hire without the hassle of hiring. Need portfolio support, too? Add IFP’s team of multi-credentialed professionals to your portfolio management — see how it works.
Ready-made resources:
- Nitrogen — portfolio analytics and risk-tolerance tool to help you track more while you’re still solo.
- Morningstar — research, analytics and portfolio insights that let you keep an eye on holdings without a full investment team behind you.

If you haven’t found the right partner yet, that’s the whole issue this ladder solves for. IFP built Client Assist, portfolio support, and marketing services to address the rungs advisors get stuck on. Climb one tier. See what comes back: time, opportunity, and clients who notice.
